About the role:
To work under the direction of the Engagement & Workspace Manager to support a busy Workspace and Event team.
Responsible for the following
Workspace
- Greet all Lipsy visitors in a friendly and professional manner ensuring they feel welcomed whilst maintaining security
- Answer calls to the main switchboard in a timely, friendly and professional manner, ensuring that all calls are forwarded to the correct person or messages taken
- Accept and distribute to staff incoming post, parcels and boxes
- Ensure meeting rooms and general office spaces are kept tidy and presentable at all times
- Book Meeting Rooms for employees, ensuring that these are never double booked
- Liaise with NEXT Facilities department to report faults with electrics/plumbing etc. at Glen House or our builders directly if applicable and manage the communications and work schedule
- Support, advise or redirect staff with their queries over IT, mobiles, landlines, carriers, etc.
- First aid & fire warden maintenance or grab bags and first aid boxes
- Liaise with recruitment on new starters
- Manage laptop record ensuring all employees have working equipment and all equipment is accounted for
- Manage administration expenses including invoices and archiving
- Support with management of floor plans and internal desk booking system
- Ensure employee allergies and workplace adjustments are recorded and accounted for
Health and Safety
- Individual Needs RA to be completed as needed, stored and added to tracker
- Quarterly update to FW & FA
- Maintain employee allergy tracker and send monthly updates
Events
- Maintain the events tracker and calendar including debriefs and timings
- Support with seasonal office decorations including research and vision boards to ensure a fun environment for employees
- Order and distribute office and event food in a timely manner
- Assist with the preparation of all activations and events
- Manage events notice board and update internal communications platform - The Hub - with anything events travel or benefits related
- Liaise with people team on management of soft benefits including long service awards, birthdays, marriages etc. and any associated gift
- Create content for events utilising Canva
- Support budget management with Engagement & Workspace Manager
About You
- Friendly, polite, enthusiastic with ability to remain calm under pressure
- Organised, Conscientious, using initiative
- Able to contribute positively as part of a team helping out with various tasks as needed
- Regularly review and re-prioritise workload, keeping To Do List
- Manage time effectively
- Good verbal and written communications skills
- Good competency in computer applications
