Job Details
We are looking for a Paralegal/Administrator to carry out a range of paralegal and administrative duties in connection with the provision of conveyancing and other property related legal services to the Council, including (but not restricted to) :
- Drafting and issuing offers and other missives for standard transactions for the purchase, sale or lease of property on behalf of the Council.
- Checking titles
- Drafting relevant legal documentation
- Ordering funds
- Dealing with Land and Building Transaction Tax
- Registration of transactions
- Updating titles index. The Council is currently reviewing its index of heritable titles to combine three distinct, area-based indexes into a single Fife-wide index. This involves extracting title packets, reviewing their contents and discarding unnecessary items, repackaging them with the revised packet number, and then reporting back to the Council’s Estates Service on completed title packets.
The post holder will also be responsible for assisting the Team Manager with the administration connected with the work of the Planning, Property and Contracts Team, including:
- Understanding and applying the working practices and systems within the Legal Team.
- Monitoring/Managing generic email box
- Reviewing new instructions and requesting clarification or further details where necessary
- Compiling work allocation list for the team’s weekly allocation meeting
- Sending allocated instructions to colleagues.
- Reporting allocation back to Client Service
- Creation of case files
- Filing papers on behalf of solicitors
- Making and receiving phone calls and video calls e.g. Microsoft Teams.
- Replying to correspondence by post and by email.
The post is within one of two legal teams which also covers planning, freedom of information, contracts, public procurement and data protection. There will be opportunities and support to apply any existing knowledge or experience, or to develop new skills.
You will work under the direction and supervision of the Team Manager.
As a progressive employer, we offer the opportunity to work in this role as a “blended working” arrangement with home-working opportunities. A significant part of the role will regular attendance at the office in Fife House, but elements of the role can be carried out remotely.
The Person
This post will suit a candidate with experience in administrative and business management matters. Experience in conveyancing and general property matters is desirable, but on the job training can be provided.
You are either required to have an HNC or equivalent educational qualification in conveyancing or Administration/Business Management or be able to demonstrate experience in these areas to an equivalent level.
Before confirming to your appointment, you will be required to obtain Protection of Vulnerable Groups (PVG) scheme membership through Disclosure Scotland and become a member of the relevant PVG scheme.
